Firm Team
Your firm team is the group of people who work at your practice — bookkeepers, junior accountants, admin staff — and need access to the Rebased Firm dashboard alongside you. Firm team members can see the firm dashboard and work on client businesses they’re assigned to, without needing blanket access to your entire portfolio.
How it works
Firm team access is built on two things that already exist in Rebased:
- Business membership — team members are invited to your firm’s linked business (the one that represents your practice), just like any other business
- Firm Access permission — a specific permission that unlocks the Rebased Firm portal for that team member
Both are required. A team member on your firm’s business without Firm Access can work in that business but won’t see the firm dashboard. Firm Access without a membership on the firm-linked business has no effect.
Prerequisites
Before you can add firm team members:
- Your Rebased Firm must be set up (Setting Up Your Firm)
- You must have a firm-linked business connected (how to link)
Adding a firm team member
- Switch to your firm’s linked business (use the business switcher)
- Go to Team → Team Members
- Click Invite Member
- Enter their email and select a role
- After they accept, grant them Firm Access through their permissions
Firm Access is a module permission, the same system used for other modules like Quotes, Invoices, and Payroll. It can be toggled on or off at any time by an admin on the firm-linked business.
What firm team members see
Firm dashboard (scoped view)
Firm team members see a version of the firm dashboard that is scoped to their access:
| Element | Practice owner | Firm team member |
|---|---|---|
| Portfolio stats | All businesses | Only businesses they’re a member of |
| Client list | Full portfolio | Only clients they have access to |
| Onboard new client | Yes | No |
| Add to portfolio | Yes | No |
| Link/unlink firm business | Yes | No |
| Billing section | Yes | No |
| Messages & Notifications | Full portfolio | Scoped to their businesses |
| Intelligence | All clients | Scoped to their businesses |
Client business access
To work in a specific client’s business, the firm team member must also have a membership on that client’s business. Firm Access alone does not grant access to any client data.
For example, if Sarah has Firm Access and is also a team member on “ABC Plumbing” and “XYZ Electrical”, she will see those two businesses in her firm dashboard — but not the rest of the portfolio.
Managing access
Granting Firm Access
- Go to your firm’s linked business
- Open the team member’s profile
- Enable the Firm module in their permissions
- Save
Revoking Firm Access
- Go to your firm’s linked business
- Open the team member’s profile
- Disable the Firm module in their permissions
- Save
The team member immediately loses access to the firm dashboard. Their membership on the firm-linked business and any client businesses is unaffected.
Assigning client businesses
To let a firm team member work on a specific client:
- Switch to the client’s business
- Go to Team → Team Members
- Invite the team member (or they may already have access)
- Set appropriate permissions for that business
Each client business is independent — you control exactly which team members can access which clients.
Billing
Team members on the firm-linked business are billed at the standard per-seat rate, the same as team members on any other business.
See Consolidated Billing for details on how billing works across your firm.
