Setup Checklist

Your personal ToDo list guides you through setting up Rebased. Complete tasks at your own pace — skip any and return later.

Overview

When you create a new business in Rebased, setup tasks are automatically added to the Getting Started list at the top of the ToDo sidebar. This helps you:

  • Configure your accounting correctly
  • Set up business details and branding
  • Connect bank accounts
  • Create your first invoice

Key principle: Only the “Choose Your Path” task is required. Everything else is optional and can be completed later.

How the Checklist Works

ToDo List Integration

Setup tasks appear in Getting Started (not mixed into Inbox):

  • Click any task to read the full guide; use Expand for a wide view alongside the rest of the dashboard
  • Mark complete when done
  • Some tasks auto-complete when you take action
  • Add your own tasks to Inbox, Today, custom lists, or folders — and share lists with your team when you need to collaborate

Non-Blocking Design

  • Work on tasks in any order
  • Skip tasks and return later
  • Use Rebased immediately after accounting setup
  • No forced wizards or mandatory sequences

Rich Guidance

Each task includes:

  • Step-by-step instructions
  • Links to relevant settings pages
  • Explanations of why the step matters
  • Tips for completion

The Tasks

1. Welcome to Rebased (Click to Open)

Required: No
Purpose: Introduction to the setup process and the ToDo UI

Introduces Getting Started, the Expand view, folders and sharing, and where to find notifications and Messages on the dashboard. This is a getting-started message rather than an action item.

Content:

  • How tasks open in the detail panel and how Expand works
  • Lists, folders, and sharing (including Shared with me)
  • Dashboard widgets: task due counts, notifications, team messages
  • That you can skip tasks, use the app immediately, and what’s next (choosing your path)

2. Choose Your Accounting Setup Path

Required: Yes (due today)
Action: Go to Accounting Settings
Purpose: Foundation for all accounting functions

The most important setup step. Choose between:

Path A — Fresh Start:

  • Apply a template (around 90 accounts)
  • Instant setup
  • Best for new businesses

Path B — Migration:

  • Import from Xero, MYOB, or QuickBooks
  • Bring your chart of accounts and balances
  • Best for existing system users

3. Fresh Start — Apply Account Template

Required: No (skip if migrating)
Action: Go to Chart of Accounts
Purpose: Complete Fresh Start setup

For users who chose Path A (Fresh Start).

Steps:

  1. Go to Settings → Accounting → Chart of Accounts
  2. Click “Apply AU Template”
  3. Around 90 accounts created instantly
  4. System accounts auto-detect

Then optionally:

  • Review Linked Accounts
  • Set Opening Balances (if not starting from zero)

4. Migration — Import from Xero / MYOB

Required: No (skip if fresh start)
Action: Go to Migration Tab
Purpose: Complete migration setup

For users who chose Path B (Migration).

Steps:

  1. Set conversion date
  2. Upload Trial Balance
  3. Confirm Linked Accounts
  4. Import Invoices (optional)
  5. Import Bills (optional)

5. Customize Branding

Required: No
Action: Go to Business Settings
Purpose: Personalise your business appearance

Set up how your business appears on invoices, quotes, and emails.

Settings:

  • Business logo
  • Colour scheme
  • Invoice and quote templates
  • Email signatures
  • Default terms and conditions

6. Review Payment Terms

Required: No
Action: Go to Business Settings
Purpose: Set default payment expectations

Configure when customers should pay you.

Options:

  • Due on receipt
  • Net 7, 14, 30 days
  • Custom terms
  • Early payment discounts
  • Late payment fees

These apply by default to new invoices but can be changed per invoice.

7. Setup Payment Processing

Required: No
Action: Go to Payments Settings
Purpose: Accept online payments

Enable customers to pay invoices online via credit card or bank transfer.

Features:

  • Stripe integration
  • PayPal (optional)
  • Direct debit (AU)
  • Automatic payment reconciliation

Requires business verification and may involve fees.

8. Connect Bank Account

Required: No
Action: Go to Bank
Purpose: Import transactions and reconcile

Connect your bank to import transactions automatically or upload statements.

Options:

  • Live bank feed (if available for your bank)
  • PDF statement upload
  • Manual account creation

9. Add First Client

Required: No
Action: Go to Clients → New
Purpose: Start your customer list

Create your first customer record.

Information:

  • Business name
  • Contact details
  • Billing address
  • Payment terms (can override default)
  • Tax settings

10. Create First Invoice

Required: No
Action: Go to Invoices → New
Purpose: Send your first invoice

Create and send an invoice to a client.

Process:

  1. Select client
  2. Add line items
  3. Set due date
  4. Review and send
  5. Track payment status

11. Get the Mobile App

Required: No
Action: Go to App Settings
Purpose: Access Rebased on the go

Download the Rebased mobile app for iOS or Android.

Features:

  • Create invoices on the go
  • Track expenses
  • View dashboard
  • Receive notifications

Task Priority

High Priority (Do First)

  1. Choose Your Path — Required before anything else works properly
  2. Complete Your Path — Fresh Start template OR Migration import

Medium Priority (Do Soon)

  1. Connect Bank — For accurate financial tracking
  2. Add Clients — To start creating invoices
  3. Create First Invoice — To begin using Rebased for business

Low Priority (Do When Convenient)

  1. Branding — Nice to have but not essential
  2. Payment Terms — Can use defaults
  3. Payment Processing — Only if taking online payments
  4. Mobile App — Convenience feature

Task Lifecycle

Seeding

Tasks are automatically added when you create a business. The seeding happens via setup.py during business creation.

Completion

Manual completion:

  • Click task to open
  • Read the guide
  • Click “Mark Complete”

Auto-completion:

  • Some tasks complete when you take the action
  • Example: Creating first invoice auto-completes that task

Skipping

  • Click “Skip” on any optional task
  • Skipped tasks can be revisited later
  • No penalty for skipping

Using Rebased Before Setup Complete

You can use many features before finishing all tasks:

Available immediately after accounting setup:

  • Create and send invoices
  • Add clients and suppliers
  • Generate quotes
  • View reports
  • Record bills

Requires additional setup:

  • Bank reconciliation (needs bank connection)
  • Online payments (needs payment processor)
  • Payroll (needs team and payroll settings)

AU-Specific Tasks

GST Registration

If you’re registering for GST:

  1. Complete accounting setup first
  2. Tax codes auto-configure
  3. GST reporting available immediately
  4. BAS preparation reports ready

Payroll Setup (Additional)

If you have employees:

  1. Add team members
  2. Configure payroll settings
  3. Set up PAYG and superannuation
  4. Connect payroll bank account

Payroll tasks appear when you enable the payroll module.

Troubleshooting

Task won’t complete

Issue: Clicked “Mark Complete” but task still shows

Solution:

  • Refresh the page
  • Some tasks auto-complete instead
  • Check if there are sub-tasks to complete

Missing tasks

Issue: Expected tasks not in ToDo list

Causes:

  • Tasks may already be complete
  • Some tasks are path-specific (Fresh Start vs Migration)
  • Tasks appear based on feature availability

Can’t click task action

Issue: “Go to…” button doesn’t work

Solution:

  • Check you’re logged in correctly
  • Verify business context is selected
  • Navigate manually to the page

Want to restart setup

Issue: Made mistakes and want to start over

Solution:

  • Most settings can be corrected individually
  • Contact support for bulk changes
  • Some data cannot be easily reset (accounts, transactions)

Best Practices

Complete accounting setup first

Everything depends on your Chart of Accounts. Finish Path A or Path B before other tasks.

Don’t rush bank connection

Bank setup can wait until you’re comfortable with Rebased. Manual entry works fine initially.

Use defaults when unsure

Default settings work well for most businesses. Customise later as you learn what you need.
