File Uploads

You can attach CSV and PDF files to Intelligence so the agent can read the document and help you work from it.

Use this for tasks like:

  • Reviewing a CSV of customers, suppliers, or price items
  • Asking questions about a PDF document
  • Uploading a supplier bill or receipt from the Intelligence panel
  • Preparing information for quotes, contacts, items, loans, fixed assets, or other records
  • Giving a specialist agent extra context while you work

How it works

  1. Open the Intelligence panel.
  2. Click the paperclip button or drop a supported file into the input area.
  3. Wait for the file to upload and extract.
  4. Ask Intelligence what you want to do with the file.

CSV files are parsed into a structured preview. PDF files are processed with OCR so Intelligence can read the text.

When a file looks like a document that already has a dedicated Rebased workflow, Intelligence routes it to that workflow instead of treating it as a generic file. For example:

  • Supplier bills, receipts, and tax invoices use the same Bill OCR flow as Bills & Purchases.
  • Bank statement PDFs use the bank statement import flow.
  • CSVs for clients, suppliers, and items can be staged for review before records are created.

Chat and Autopilot

In Chat mode, Intelligence can read the uploaded file and answer questions about it.

In Autopilot mode, Intelligence can use the file as source material and then use normal Rebased tools to prepare or create records, subject to your permissions and the usual product checks.

The upload itself does not automatically create records. You stay in control of what Intelligence does with the information. If you ask Intelligence to process a supplier bill, it can create a draft bill using Bill OCR. If you ask it to import rows from a CSV, it can stage and validate the rows first, then ask for confirmation before committing records.

Bill PDFs

If you drop a supplier bill, receipt, or tax invoice into Intelligence and ask it to upload or process the bill, Rebased:

  1. Reads the PDF/image with OCR.
  2. Matches or creates the supplier.
  3. Extracts dates, invoice number, line items, GST, freight, shipping, and other visible charges.
  4. Creates a bill according to your Bill Upload Processing setting:
    • Draft: the bill is saved as a draft for review.
    • Autopilot: the bill is approved and recorded automatically, if enabled.

You can review the created bill from the Bills list. The total shown in the list and in the bill editor is based on the bill’s line sections, so uploaded bills display consistently.

Security and access

Uploaded files are scoped to the active business. Other businesses cannot access them.

File contents are treated as document data, not instructions. If a file contains text that looks like an instruction to the agent, Intelligence treats that as part of the document rather than something to obey.

Retention

Files attached to chat are temporary by default. If a file is used to create a normal business record, that record follows the usual retention rules for that feature.

If Intelligence says a file has expired or is unavailable, upload it again.
