The Quotes module helps you:

  • Create professional quotes with line items, sections, and interactive options
  • Manage clients and their contact details in one place
  • Build a library of reusable items and templates to speed up quoting
  • Present options to clients with optional items and multiple-choice packages
  • Track status from draft through sent, viewed, accepted, or declined
  • Convert to invoices instantly when clients approve your quote

When to use Quotes

Quotes are ideal when you need client approval before starting work or billing:

  • Project-based services with defined scope and pricing
  • Product sales with configurable options or packages
  • Recurring work where clients choose service tiers
  • Any situation requiring a formal proposal before commitment

Once a quote is accepted, Rebased can automatically create an invoice based on your On Acceptance Rules settings.

  1. Set up your basics – Configure quote numbering and defaults
  2. Add some clients – Or create them as you go
  3. Build your item library – Save time on future quotes
  4. Create your first quote – Use the Quotes tab to get started
  5. Learn the editor – Master line items, sections, and options
  6. Understand the viewer – See what your clients experience

Typical workflow

Most businesses follow this pattern:

  1. Create a new quote from the Quotes tab
  2. Select a client (or add a new one)
  3. Add line items using your Items library or Presets
  4. Configure options – Set optional items or multiple-choice packages if needed
  5. Preview the quote to see exactly what the client will see
  6. Send via email or share link
  7. Track status – Watch for viewed, accepted, or declined
  8. Invoice – If On Acceptance Rules is configured, invoices are created automatically when clients accept

Quote lifecycle

A quote moves through several statuses during its lifetime:

DraftQuote created but not yet saved or sent
SentQuote delivered to client, waiting for response
ViewedClient has opened the quote (shown as “Viewed” badge on sent quotes)
AcceptedClient has formally accepted the quote
DeclinedClient has chosen not to proceed
ExpiredQuote passed its valid until date
WithdrawnYou have cancelled the quote before acceptance

  • ABN and business details appear on quotes based on your branding template
  • Invoice conversion maintains tax treatment from the original quote
