Aged Payables
Money you owe to suppliers and when it’s due. Manage your outgoing payments and supplier relationships.
Overview
Aged Payables shows all money you owe to suppliers, organised by how long bills have been unpaid. It helps you manage cash outflows and maintain good supplier relationships.
What it shows
- All outstanding bills to suppliers
- How long each bill has been unpaid
- Total owed to each supplier
- Aging buckets (current, 30, 60, 90+ days)
Aging buckets
Bills are grouped by days overdue:
| Bucket | Days Overdue | Meaning |
|---|---|---|
| Current | Not yet due | Bill within payment terms |
| 1-30 days | 1-30 days overdue | Recently overdue, pay soon |
| 31-60 days | 31-60 days overdue | Seriously overdue, priority |
| 61-90 days | 61-90 days overdue | Risk to supplier relationship |
| 90+ days | More than 90 days overdue | Urgent, may affect supply |
Generating the report
Step 1: Select as-at date
- Usually today (shows current position)
- Can select historical date (e.g., month-end)
- Date determines which bills are outstanding and their age
Step 2: Filter by supplier (optional)
- Show all suppliers (default)
- Select specific supplier to focus on
Step 3: Click Generate Report
Understanding the layout
Summary stat cards
Top cards show:
- Total Outstanding — All money owed to suppliers
- Current — Not yet due (plan payment)
- Overdue — Past due date (pay urgently)

Interpreting the report
Healthy payables
- Most amounts in “Current” bucket
- Bills paid within terms
- Good supplier relationships maintained
Cash flow management
- Current column = upcoming payments to plan for
- Overdue column = urgent payments needed
- Total = cash required to clear all debts
Concerning patterns
- Large amounts overdue (30+ days)
- Growing total without matching cash flow
- Reliance on extended supplier credit

- Review Current column — plan payments
- Prioritise overdue amounts
- Schedule payments to optimise cash flow
- Maintain good supplier relationships
Cash flow management
- Current amounts = expected near-term cash out
- Plan for payment runs (weekly, twice-monthly)
- Balance early payment discounts vs cash needs
Supplier management
- Identify key suppliers (largest amounts)
- Monitor payment history with each supplier
- Negotiate terms if consistently tight
Month-end review
- Generate as-at month-end
- Track trends over months
- Accrue for month-end cut-off

Payment schedule

Supplier relationships
- Pay within agreed terms
- Communicate if delays expected
- Prioritise critical suppliers
- Take advantage of early payment discounts
Payment runs
- Schedule regular payment batches
- Weekly or twice-monthly typical
- Process all due bills in one batch
- Use batch payment processing if available
Cash flow timing
- Align payables with receivables
- Pay after collecting from customers if possible
- Consider payment terms when ordering
AU-specific notes
GST considerations
- Aged Payables includes GST amounts
- GST on purchases claimed on BAS (accrual basis) when bill received
- Paying bill doesn’t affect GST already claimed
EOFY preparation
Before June 30:
- Review all outstanding bills
- Pay any critical year-end expenses
- Accrue for services received but not yet billed
- Ensure all expenses captured for tax deduction
Tax timing
- Expense deductible when bill incurred (accrual basis)
- Not when paid (cash basis different)
- EOFY accruals ensure current year deduction

Troubleshooting
Supplier total seems wrong
- Check for unallocated credit notes
- Verify payments applied correctly
- Review disputed bills
Bill age incorrect
- Check bill due date is correct
- Verify payment terms on bill
- Due date = Bill date + payment terms
Paid bills still showing
- Payment may not be applied to bill
- Check Bank Reconciliation
- Verify payment date is before as-at date
Supplier missing from report
- No outstanding bills (fully paid)
- Bills in “Draft” status (not approved)
- Credits exceed debits (supplier in credit)
Negative balance for supplier
- Supplier overpaid (in credit)
- Unapplied credit notes
- Advance payments made
Large 90+ days amounts
- Disputed bills not resolved
- Credits not applied
- System error (contact support)
