Quote Viewer
The Quote Viewer is the interface your clients see when they receive and interact with your quotes. It serves dual purposes: as a Preview Mode for you to review before sending, and as the live client-facing view where recipients can accept, decline, and interact with quote options.
Two modes of the Quote Viewer
Preview Mode (Merchant View)
Use Preview Mode to see exactly what your client will see before sending the quote.
How to access:
- Create or edit a quote in the Quote Editor
- Save the quote (required before preview is available)
- Click the Preview button in the top toolbar
What you’ll see:
- A prominent banner at the top stating “Preview Mode - This is how your quote will appear to recipients”
- A Back to Quote Editor button to return and make changes
- The complete quote as your client will see it
- All interactive elements (optional items, multiple choice selections) are functional for testing
Why use Preview Mode:
- Verify branding, colors, and logo appear correctly
- Test interactive elements (optional items, multiple-choice selections)
- Check that line items, descriptions, and pricing display accurately
- Ensure totals and GST calculations are correct
- Review the overall professional appearance before client delivery
Public/Shared Mode (Client View)
This is the live, interactive version clients access via the unique share link sent to them.
How clients access it:
- Clients receive an email with a secure link (e.g.,
https://platform.rebased.app/quotes/shared/{share_token}) - Or you copy the Share Link from the Send Quote panel and send it via your own channels
- No login required - the link provides direct access
Security features:
- Each quote has a unique, unguessable share token (UUID format)
- Links are secure and cannot be brute-forced
- Access can be revoked by withdrawing the quote
- Links automatically expire when the quote reaches its valid until date
Quote Viewer layout and elements
Header section
Quote identification:
- QUOTE - XXXX: Prominent quote number (e.g., QUO-1001)
- Date: The sent date you configured in the editor
- Expiry notice: Visual indicator showing when the quote expires (e.g., “Expires Mar 25, 2026”)
Business branding:
- Your business logo (if uploaded in branding settings)
- Business name and contact details
- Email, phone, and physical address
- All pulled from your selected brand template
Sender and recipient information
FROM section:
- Name and email of the team member sending the quote
- Pulled from the From field in the Quote Editor
TO section:
- Recipient name and email address
- Client business name below the contact
- Multiple contacts appear stacked if you added more than one
Quote title and actions
Title:
- The full quote title as entered in the editor (e.g., “Website Build Quote - Docs Test”)
- Displayed as a prominent heading
Download PDF button:
- Located at the top right of the quote content
- Generates and downloads a PDF version of the quote
- Clients can save this for their records or internal approval processes
- PDF includes all branding, line items, and totals
Line items and sections
Each line item from your quote displays with:
Service/Product name:
- Heading showing the item name (e.g., “Website design and setup”)
Description:
- Full description text explaining what’s included
- Rich text formatting preserved from the editor
Attachments:
- Files added via ”+ Add files” in the editor appear as downloadable links
- Images may display inline if configured
Pricing details:
- Unit price (e.g., “$1,500.00”)
- Quantity (e.g., ”× 1”)
- Line total calculated automatically
Section organization:
- If you created sections in the editor, visual separators group related items
- Section subtotals display if configured
Interactive elements (when configured)
The Quote Viewer supports several interactive features you can configure in the editor:
Optional Items
What clients see:
- A checkbox next to optional line items
- Items are unchecked by default
- Real-time total updates when checked/unchecked
How it works:
- Client toggles the checkbox to include/exclude the item
- Quote total recalculates instantly
- Final acceptance includes only selected optional items
Example use case: Offer add-ons like “Premium Support Package (300)” as optional selections.
Multiple Choice Groups
What clients see:
- Radio button groups for mutually exclusive options
- Clearly grouped visually with mint-colored borders
- Prices displayed for each option
- One selection required per group
How it works:
- Consecutive multiple-choice items from the editor form a group
- Client selects exactly one option from each group
- Quote total reflects only the selected option(s)
- Visual highlighting shows the selected choice
Example use case: Present “Standard Website Package (3,500)” as radio button options where the client must choose one.
Editable Quantity
What clients see:
- An input field showing the default quantity
- Ability to increase or decrease the value
- Real-time total updates as quantity changes
How it works:
- Client adjusts the quantity before accepting
- Line total and grand total recalculate automatically
- Final acceptance uses the client-specified quantity
Example use case: Allow clients to specify how many user licenses (150/hour) they need.
Totals section
Displayed calculations:
- Subtotal: Sum of all line items before tax
- GST: Tax amount based on your configured tax rates
- Total: Final amount including GST (AUD)
Important notes:
- Totals update dynamically as clients interact with optional items and multiple-choice selections
- Tax calculations respect the tax codes assigned to each line item in the editor
- All amounts display in AUD for AU region accounts
Footer
Powered by REBASED:
- Branding footer with link to rebased.app
- Maintains professional presentation
Client actions: Accept or Decline
The right sidebar provides the primary interaction for clients:
Accepting a quote
Required information:
- Full Name*: Client must enter their full name to formalize acceptance
- Order Number / Reference (optional): Client can add their internal purchase order number or reference code
- Comments (optional): Space for any notes, questions, or special instructions
Accept Quote button:
- Disabled until the Full Name field is completed
- Clicking submits the formal acceptance
- Triggers status change from
senttoaccepted - Can trigger automatic invoice creation based on your Quote Settings
What happens after acceptance:
- You receive a notification (if configured in Email settings)
- Quote status updates to
acceptedin your Quotes list - Client sees a confirmation message
- Depending on your On Acceptance Rules setting:
- Create draft invoice: A draft invoice is generated for your review
- Send approved invoice: An invoice is created and sent to the client immediately
Declining a quote
Decline Quote button:
- Available as an alternative to acceptance
- Client can optionally provide a reason in the Comments field
- Status changes to
declinedin your system - You receive notification of the decline
After decline:
- Quote remains in your system for reference
- You can modify and resend if needed
- Status can be changed back to
editingto make revisions
Managing quote interactions
View tracking
When a client opens the quote via the share link:
Automatic tracking:
- Viewed status updates to “Viewed” (from “Unopened”)
- Viewed at timestamp recorded (first view only)
- View count increments with each access
- Last viewed at updates with each visit
Where you see this:
- Quotes list shows “Viewed” or “Unopened” badge
- Individual quote page displays view statistics
- Helps you time follow-up communications
Quote expiration
Automatic expiry:
- When the “Valid Until” date passes, the quote status changes to
expired - Client can no longer accept or decline via the viewer
- You can extend the date and resend if needed
Manual withdrawal:
- You can withdraw a quote at any time from the Actions menu
- Status changes to
withdrawn - Client access is immediately revoked
- Can be reopened as draft if needed
Best practices for Quote Viewer optimization
Before sending:
- Always use Preview Mode to verify the complete presentation
- Test interactive elements - toggle optional items, select multiple-choice options
- Check calculations - verify subtotals, GST, and totals update correctly
- Review branding - confirm logo, colors, and contact details display properly
- Test PDF download - ensure the PDF version looks professional
Configuring interactive quotes:
- Optional items - Use for genuinely optional add-ons, not core requirements
- Multiple choice - Group related options (e.g., service tiers) together
- Editable quantity - Enable when clients commonly need varying amounts
- Clear descriptions - Ensure clients understand what each option includes
Client communication:
- Explain interactive features - Let clients know they can select options and see prices update
- Set clear expectations - Inform them about expiry dates and next steps after acceptance
- Follow up on views - If a quote is viewed but not acted upon, timely follow-up can close the deal
- Monitor unopened quotes - Quotes remaining unopened may indicate email delivery issues
Technical details
Data snapshot system
When you send a quote, the system creates a read-only snapshot:
- Snapshot isolation: Client sees a fixed snapshot of the quote at send time
- Security: No sensitive data (team notes, internal settings, cost prices) is included
- Revocable: Withdrawing the quote deactivates the snapshot
- Immutable: Clients always see the quote as it was when sent, even if you later edit the original
