Notifications

The Notifications panel shows system notifications and @mentions. It provides a centralized view of alerts, updates, and messages from other team members.

Message actions

New message

Create a new direct message to team members:

  1. Click New to open the message composer
  2. Search and select recipients from your team
  3. Type your message
  4. Click Send to deliver

Mentions filter

In the Inbox, use All or Mentions to focus on @mentions and replies. Unread mentions are sorted to the top and highlighted so they stand out from routine system alerts.

Hide read

Toggle to show only unread notifications. This helps focus on items requiring attention.

Use the search field on the inbox to find an older notification or @mention by title, message, or source (for example an invoice note). Search looks through your notifications only — not the rest of the app. While you are searching, read items stay visible so you can find what you need.

Mark as read

Click the check icon on any notification to mark it as read. Read notifications are filtered out when Hide read is active.

Reply

Reply directly to @mentions:

  • Auto-prefills with @sender
  • Opens quick reply interface
  • Sends response as new notification

View

Click View to navigate directly to the source document where the notification originated.

Direct messages and other inbox-bound items open (or expand) in the Notifications inbox. They do not use /dashboard as the destination — that looked like a page refresh when you were already on the Dashboard.

Email notifications

Major events can also email you. Defaults:

Other alerts (for example Autopilot, timesheets, pay run) stay in the inbox only for now. Approvers also get a daily in-app digest of approved leave starting this week.

Where to manage email settings

All email alert toggles live in one place:

Settings → Notifications → System Notifications

You can also open that page from Quotes → Emails → System Notifications, Invoices → Emails → System Notifications, or the Email settings link on the Notifications inbox.

@Mentions system

How it works

  • Users can type @ in any notes field across the platform
  • Autocomplete shows users who can access that module
  • When mentioned, the user receives an in-app notification (and an email by default)
  • Notification links directly to the page where the note was made
  • Mention emails include a button that opens that same note or document
  • Unread mentions show a mint accent and appear above other unread items

Permission-based filtering

The @mentions system includes permission-based filtering:

  • When typing @ in notes fields, only users with access to that module appear in autocomplete
  • Admins can be mentioned in any module
  • Team members can only be mentioned if they have the relevant module permission
  • This prevents notifying users who don’t have access to the context

Example: In Quote notes, only users with Quotes access can be mentioned. In Job notes, only users with Jobs access appear.

Notification details

Each notification includes:

  • Title: Brief description of the event
  • Message: Additional context or quoted text
  • Source: Document or record that triggered it
  • Timestamp: When the notification was created
  • Sender: Who triggered the notification (for @mentions)

Best practices

Daily workflow

  1. Check Unread Notifications stat on Dashboard first thing
  2. Use the Mentions filter when you need to clear collaboration items first
  3. Search the inbox when you need an older @mention or alert
  4. Mark items as read once handled
  5. Use Hide read to focus on active items

Managing notifications

  • Mark notifications as read to keep inbox clean
  • Reply promptly to @mentions from colleagues
  • Use View to navigate to context for full details
  • Check Sent tab to see your own notification history
  • Adjust email settings if your inbox is too noisy

@Mentions etiquette

  • Use @mentions when you need someone’s specific attention
  • Don’t overuse—respect colleagues’ notification load
  • Ensure the person has module access before mentioning
  • Reply to @mentions you receive in a timely manner

Troubleshooting

Notifications not appearing

  • Check the Sent tab if expecting your own notifications
  • Verify Hide read isn’t active
  • Try the Mentions filter if looking for @mentions specifically
  • Some notifications require specific module permissions
  • Ensure you’re a business member with appropriate access

Can’t mention someone

  • Verify they have access to the module you’re in
  • Admins can be mentioned anywhere
  • Team members need specific module permissions
  • Check that the user is an active business member

Not receiving @mentions

  • Confirm you’re looking in the Inbox tab (or Mentions filter)
  • Check Email settings — both business @mention email and your personal “Email me for @mentions” should be on
  • Verify the mentioner has permission to mention you in that context
  • Check if the notification was marked as read

Reply not working

  • Ensure you’re replying to a mention (not a system notification)
  • Check network connection
  • Verify you have permission to access the source document
