Australia (AU)BankReconciliation Autopilot

Reconciliation Autopilot

Autopilot lets the Reconciliation Specialist confirm safe rows for you, so the only transactions you have to look at are the ones the agent isn’t sure about.

This is bank reconciliation Autopilot — separate from Bills Autopilot, which controls whether uploaded supplier bills are approved automatically.

What Autopilot does

When Autopilot is on, every time bank transactions come in (CSV import or live feed sync), the agent will:

  1. Match transactions against your books with the existing deterministic + AI pipeline.
  2. Draft an allocation for anything the pipeline couldn’t auto-match.
  3. Confirm every row that lands in Ready to Confirm or Agent Confident, including:
    • Agent-prepared account drafts
    • Existing journal links (and combined pay-run journals)
    • Step 1 invoice and bill matches (full payment, deposit, partial, or installment) — records the payment and reconciles the bank line

Batch matches that split one bank line across several invoices/bills still need your Confirm (allocations). Anything in Agent Questions is never touched by Autopilot.

The Reconcile tab shows a banner — “Autopilot confirmed 14 transactions since your last visit” — and the Account Transactions ledger marks each one with a small Confirmed by Autopilot chip so you can spot them later.

When can I turn it on?

Autopilot is gated by an Intelligence Training bar on each business. The bar advances when you confirm the agent’s drafted account without changing it:

  • Accept the agent’s account choice → training advances.
  • Change the account before confirming → that confirm counts as edited (accuracy dips).
  • Confirming a pattern match, invoice match, bill match, or other non-account path does not move the training bar — only agent-prepared account drafts count.

Once training reaches the unlock threshold, you’ll see “Autopilot ready to enable” in Reconciliation Settings.

We deliberately don’t show the exact formula — it will be retuned as we gather more data — but the bar will tell you when you’re getting close.

How to enable

  1. Open the Reconcile tab on any bank account.
  2. Click Reconciliation Settings (kebab menu, top right).
  3. Make sure Auto Agent Infill is on.
  4. Under Mode, choose Autopilot. (If Autopilot is greyed out, the training gauge below will tell you how close you are.)
  5. Save.

From the next import or sync, Autopilot will confirm safe rows automatically.

How to disable

Same place: open Reconciliation Settings and switch the mode back to Draft mode. Already-confirmed transactions stay confirmed; nothing is rolled back.

What if Autopilot gets one wrong?

You can always undo an Autopilot confirm exactly the same way as a manual confirm: open the journal entry from the Account Transactions ledger, click Unreconcile. The agent’s drafted allocation will come back as a normal Ready to Confirm row.

If you correct the coding (change the account via reclassify or by redoing the reconcile), that correction is the real accuracy signal — use it whenever something looks wrong. Those fixes also teach Bank Patterns, so similar transactions get better next time. Autopilot stays available after a miss; the training bar may dip if you had been confirming agent drafts by editing the account.

Rolling back a bad bank statement import (Statement Library → Rollback) is gauge-neutral — it does not count as an agent miss and does not move the Intelligence Training bar.

Receipts and Autopilot

Autopilot codes the bank line. Receipts are evidence:

SituationWhat happens
Money already spent (card/EFTPOS receipt)Rebased auto-attaches when the match is clear (same amount, day, and merchant), or you can attach from Reconcile. No bill is created. If the bank line isn’t in yet, the upload shows Waiting for bank transaction.
Bill you’ll pay laterUpload on the Bills page (OCR creates a draft or Autopilot-approved bill)

Removing an auto-attached receipt teaches the system that match was wrong. See Bank Reconciliation → Attach receipts and Bills settings.

Why doesn’t Autopilot touch Agent Questions?

Agent Questions is where the agent has flagged that something needs your eye — missing receipts, ambiguous contact, tax review required, that kind of thing. Auto-confirming those would defeat the purpose of the bucket. They will always wait for you to review and confirm.

Out of scope (for now)

  • Scheduled Cloud Agent Autopilot — Autopilot currently only runs during a bank import or sync. A scheduled version that runs without you opening the app is planned but not built.
  • Per-account toggle — Autopilot is on or off for the whole business, not per bank account.
