Repeating Invoices

Automatically create and email invoices on a schedule from a template invoice.

This is not a subscription or automatic card charge. Each occurrence is a normal invoice your client pays via the invoice link (or bank transfer), using the same payment terms you set on the template.

When to use it

Use repeating invoices for retainers, memberships, or any regular billing where the line items stay the same (or nearly the same) each period.

How to set up

  1. Open the invoice you want to use as the template (draft, sent, or paid is fine).
  2. Open Actions → Make repeating.
  3. Choose:
    • Frequency — weekly, fortnightly, monthly, quarterly, or yearly
    • Next run date — when the first automatic invoice should be created
    • End date or max occurrences (optional)
  4. Click Start repeating.

Rebased creates and emails a new invoice on each run, using the template’s client, line items, branding, and payment terms. Due dates are recalculated from the new issue date.

Managing a series

From Actions → Make repeating on the template invoice you can:

  • See status, next run, and occurrence count
  • Pause or Resume the schedule
  • Change frequency or next run date
  • End series (stops future invoices; past invoices remain)
  • Open previously generated invoices

Generated invoices show a Repeating badge on the invoices list. When you have at least one active or paused schedule, the invoices list Status filter also includes Repeating — pick it to see all schedules and open the template to manage one. That option only appears while schedules exist.

What your client receives

On each run, the client gets the same style of send as Send Invoice: your invoice email template, PDF attachment, and payment link (when online payment is enabled). They pay via that link using the normal Stripe flow. Cards are not charged automatically.

Checking that a send arrived

Open any generated occurrence in the Invoice Editor and use Activity. You’ll see when Rebased emailed that invoice and whether delivery succeeded — even if the client never opens the public link. Each occurrence has its own activity feed.

Payment terms

Configure payment terms as you normally would on the template (Net 14, deposit + balance, installments, and so on). Those terms apply to every new invoice in the series. There is no separate “subscription” payment term for this feature.

Requirements

  • Template invoice with a client contact that has an email address (needed for auto-send)

If a run cannot send (for example, missing email), the occurrence may be left as a draft and the schedule records an error — you can fix the contact and continue.
