Intelligence
Intelligence is the AI assistant built into Rebased. It lives in a side panel you can open from anywhere in the app, and it understands your business — your clients, invoices, bank transactions, tax obligations, and more.
Two modes
Intelligence has two modes. You can switch between them at any time using the toggle at the top of the panel.
Chat
Chat is read-only. Ask questions and get answers based on your business data. Nothing is created, sent, or changed.
Examples:
- “How much revenue did we earn last quarter?”
- “Which invoices are overdue?”
- “What’s our GST liability for this BAS period?”
Autopilot
Autopilot can take actions on your behalf. It can create documents, send emails, reconcile transactions, and navigate the app — all while explaining what it’s doing.
Examples:
- “Create an invoice for Smith & Co for the March retainer”
- “Send a payment reminder for all invoices overdue by more than 14 days”
- “Reconcile the Xero bank feed transactions from last week”
You’ll always see a confirmation before Autopilot performs a significant action, so you stay in control.
What Intelligence can do
| Capability | Chat | Autopilot |
|---|---|---|
| Answer questions about your data | Yes | Yes |
| Summarise reports and balances | Yes | Yes |
| Create invoices, quotes, and bills | No | Yes |
| Send documents by email | No | Yes |
| Reconcile bank transactions | No | Yes |
| Navigate to pages in the app | No | Yes |
| Read attached CSV and PDF files | Yes | Yes |
Current context
Intelligence follows the work area you select in Rebased.
- On the Dashboard, selecting a folder, list, or task injects that context. The panel shows a label such as Using folder, Using list, or Using task.
- In Docs, attach a folder or Markdown document from the file tree so Intelligence works from that company knowledge.
- On other pages, the open invoice, quote, bank transaction, or similar record can become the active context.
When you ask a follow-up such as “what about the bootstrapping phase?”, Intelligence uses the active folder, list, task, transaction, or document before asking you to repeat the context. Be specific whenever you want to switch to a different item.
Context follows visibility:
- Private Docs, lists, and personal notes stay personal to you
- Shared or Business Docs and lists are available to authorised team members
- Intelligence loads your personal context plus relevant shared business context
Curated Business Context automatically packs a short, per-user summary from Company Docs and private memories you can already read into relevant work turns. It is not a shared “one context for everyone,” and it does not replace attaching Docs or asking Intelligence to search full pages.
Company knowledge vs product help
- Questions about your business (SOPs, briefs, wiki pages) should use Docs and other authorised business sources.
- Questions about how Rebased works use Rebased’s product documentation.
- Intelligence should search those sources before answering. If nothing relevant is found, it should say so rather than guess.
- Docs-assisted work uses the same Intelligence panel (chat or Autopilot) — not a separate AI app. Attach a Doc or folder when you want a specific page in context.
Chat history
Select the clock in the Intelligence header to open your saved chats. Choose a chat to continue where you left off, or select New chat to start with a clean conversation.
Your history is private to your user and the active business. You can rename, pin, archive, or delete a chat from its More menu. Pinned chats stay at the top; archived chats are hidden from the normal list.
See Chat History for how saved chats and context work together.
Personal by default, shared when you choose
Memories, rules, and workflows are personal to you by default. Only you see your own items, and only your items are applied when you use Intelligence.
If you want the whole team to benefit from a memory, rule, or workflow, toggle Share with team when creating or editing it. Shared items appear for everyone in the business and are marked with a Shared badge in Settings.
The agent always loads your personal items plus any shared business-wide items, so you get a tailored experience while still benefiting from team standards.
Memories
Intelligence learns about your business over time. When you mention something important — like your standard payment terms, your accountant’s name, or how you categorise certain expenses — the agent saves it as a memory under your account.
These memories are used automatically in future conversations so you don’t have to repeat yourself. You can view and manage saved memories in Intelligence Settings, where you can also filter by My Items or Shared.
Rules
Rules are instructions you set that the agent always follows. They act as guardrails for how Intelligence behaves.
Examples:
- “Always use 14-day payment terms unless I say otherwise”
- “Never send invoices without my approval”
- “Use accrual accounting for all reports”
Rules you create apply only to your conversations by default. Toggle Share with team to make a rule apply for everyone in the business. You can add, edit, and remove rules in Intelligence Settings.
Workflows
Workflows are saved prompts you can trigger instantly using /slash-commands in the chat input. Instead of typing out a detailed instruction each time, save it once and reuse it with a single command.
Examples:
/create-invoice— generate an invoice from a template prompt/weekly-summary— get a summary of the week’s activity/chase-overdue— send reminders for overdue invoices
Workflows you create are personal by default. Toggle Share with team to make them available to other users. Rebased also includes built-in system workflows that are available to everyone. See the Workflows page for details.
File uploads
Attach CSV and PDF files to Intelligence when you want the agent to read a document or work from structured data. In Chat mode it can answer questions about the file; in Autopilot mode it can use the file as source material for permitted actions.
Publishing durable company knowledge into Docs is a separate path: Markdown imports create a new Doc with provenance; PDF/DOCX/images open an explicit review draft before publish, with no silent overwrite. See File Uploads and Docs.
AI Credits
Intelligence usage is measured in AI credits (tokens). Your subscription includes a monthly allowance that resets each billing cycle. If you need more, you can purchase additional credits in Settings for the current business, for yourself, or for your Rebased Firm practice when available.
Your current balance is shown at the bottom of the Intelligence panel. See the AI Credits page for full details.
Region-aware
Intelligence understands Australian tax and business conventions out of the box:
- GST — calculates and applies 10% GST with the correct tax codes
- BAS — answers questions about your Business Activity Statement obligations
- Currency — works in AUD and formats amounts accordingly
- Terminology — uses Australian terms (e.g. “superannuation” not “401k”, “ABN” not “EIN”)
