Managing Your Portfolio

Your portfolio is the collection of all businesses under management in your Rebased Firm. You can add businesses you already have access to, onboard brand-new clients, and switch between them from the firm dashboard.

Adding an existing business

If a client has already invited you as an advisor to their Rebased business, you can add it to your portfolio in one click.

  1. On the firm dashboard, click Add to Portfolio
  2. A modal shows businesses where you have advisor access but that aren’t yet in your portfolio
  3. Click Add next to the business you want to include
  4. The business appears in your client list immediately

Note: Adding a business to your portfolio does not change the client’s billing or permissions. It simply links the business to your firm for centralised management.

Onboarding a new client

If your client doesn’t have a Rebased account yet, you can create one for them directly from the firm dashboard.

  1. Click Onboard New Client on the firm dashboard
  2. You’ll be taken to /firm/onboard

After creation, you can invite the client as an admin so they can operate day-to-day while you retain owner access.

What gets set up automatically

  • Region-specific leave types (e.g. Annual Leave, Personal/Carer’s Leave for AU)
  • Onboarding todo tasks (same as the standard setup checklist)
  • AI credit allocation

Switching to a client business

From the firm dashboard, click any client card to switch to that business. This takes you to the standard Rebased dashboard for that client, where you can work on invoices, quotes, bank reconciliation, and everything else.

To return to the firm dashboard, use the Rebased Firm option in the user menu.

Access vs portfolio membership

These are two separate concepts:

A client can invite you as an advisor without being in your portfolio. You can work in their business, but it won’t appear in your firm dashboard until you add it.

What firm team members see

If you have staff with Firm Access, they see a scoped version of the portfolio. They can only see client businesses where they also have a team membership. Adding or onboarding clients is restricted to the practice owner.

This means you control exactly which clients each team member can see by managing their business memberships — Firm Access opens the dashboard, but individual business memberships determine which clients appear in it.

Advisor permissions

As an advisor, your access to each client business is controlled by module permissions — the same system used for team members.

Permissions can be adjusted per business by the business owner or an admin.

Ownership transfer

If you created a business on behalf of a client during onboarding, you are the initial owner. You can transfer ownership to the client at any time:

  1. Switch to the client’s business
  2. Go to Settings → Business → Ownership
  3. Select the new owner (must be an active admin)
  4. Confirm the transfer

Ownership transfer is optional — many advisors remain as the business owner.
