Jobs Tab

The Jobs Tab is your central view for managing all jobs. Track job status, search and filter, switch between multiple view modes, and create new jobs.

Overview cards

At the top of the page, summary cards show your job portfolio:

Total Jobs

  • Count: All jobs in the system
  • Includes: Draft, active, completed, and invoiced jobs
  • Purpose: Quick view of total job volume

Active Jobs

  • Count: Jobs currently in progress or not yet completed
  • Excludes: Completed and invoiced jobs
  • Purpose: Current workload indicator

Completed Jobs

  • Count: Jobs marked as finished
  • Status: Ready for invoicing or already invoiced
  • Purpose: Track delivery completion

Search box: Find jobs quickly by:

  • Job name
  • Client name
  • Quote reference

Search tips

  • Partial names work: “Website” finds “Website Redesign Project”
  • Client search: Search by business name
  • Quote number: Link between quotes and jobs

View modes

Switch between four different ways to view your jobs:

Kanban view

Visual board with columns representing job phases.

How it works:

  • Columns = Job phases (Draft, Planning, In Progress, Complete, etc.)
  • Cards = Individual jobs
  • Drag and drop to move jobs between phases

Best for:

  • Visual workflow management
  • Seeing job distribution across stages
  • Quick status updates by dragging

Table view

Detailed list with sortable columns.

Columns include:

  • Job name
  • Client
  • Phase/Status
  • Start date
  • Due date
  • Budget
  • Actual costs
  • Profit margin

Best for:

  • Detailed data review
  • Sorting and filtering
  • Exporting job lists
  • Bulk actions

Calendar view

Jobs displayed on a monthly calendar.

Shows:

  • Job start dates
  • Job due dates
  • Duration as calendar bars

Best for:

  • Scheduling overview
  • Deadline management
  • Resource planning
  • Identifying conflicts

Timeline view

Gantt-style horizontal timeline.

Shows:

  • Job duration as horizontal bars
  • Start and end dates
  • Overlapping projects
  • Dependencies (if configured)

Best for:

  • Project planning
  • Resource allocation
  • Long-term scheduling
  • Identifying bottlenecks

Creating new jobs

New Job button

Click New Job to open the job creation modal:

Fields:

  • Job Name (required): Descriptive project name
  • Client: Select from existing clients or leave blank for internal jobs
  • Template: Choose a job template (optional)
  • Description: Detailed scope of work
  • Start Date: When work begins
  • Due Date: Expected completion
  • Budget: Estimated or quoted amount

From accepted quotes

Jobs can be automatically created when quotes are accepted:

  1. Configure in Job Settings
  2. When client accepts quote → job auto-created
  3. Quote details pre-fill the job
  4. Job linked to originating quote

Job cards

In Kanban and other views, job cards display:

Card content

  • Job name: Click to open job details
  • Client name: Linked client
  • Phase: Current status
  • Dates: Start and due dates
  • Budget indicator: Visual budget vs actual
  • Team members: Assigned staff avatars

Card actions

  • Click card → Open job editor
  • Drag card → Move to different phase
  • Right-click → Quick actions menu

Job phases

Phases represent stages in your job workflow. Configure phases in Job Setup.

Common phase examples

Filtering jobs

Status filters

Filter by job state:

  • All Jobs: Everything (default)
  • Active: Not yet completed
  • Completed: Finished jobs
  • Invoiced: Already billed

Client filter

Show jobs for specific client only.

Date filters

  • Starting this week/month
  • Due this week/month
  • Overdue (past due date, not complete)

Bulk actions

Select multiple jobs to perform actions:

  • Change phase: Move several jobs at once
  • Archive: Archive completed jobs
  • Export: Download job list as CSV
  • Print: Generate job summary reports

Job list management

Sorting

Click column headers to sort:

  • Name (A-Z, Z-A)
  • Date (newest, oldest)
  • Budget (highest, lowest)
  • Profit margin

Pagination

Jobs list paginates for performance:

  • Default: 20 jobs per page
  • Navigate with page controls
  • Or scroll to load more

AU-specific features

Tax tracking

Job budgets and costs track GST:

  • Budgets exclude GST (net amounts)
  • Costs include GST for expenses
  • Profitability shown net of GST

Payroll integration

Time recorded against jobs can feed payroll:

  • Direct timesheet integration
  • Award/EBA rate application
  • Superannuation on-costs tracked

Best practices

Job naming

Use clear, descriptive names:

  • “ACME Corp - Website Redesign” not just “Website”
  • Include client name for clarity
  • Use consistent naming conventions

Phase discipline

Keep phases current:

  • Update status as work progresses
  • Don’t leave completed jobs “In Progress”
  • Move to “Complete” when delivered

Budget tracking

Set realistic budgets:

  • Based on quoted amounts
  • Include buffer for contingencies
  • Review budget vs actual regularly

Date management

Accurate dates help scheduling:

  • Set realistic start and due dates
  • Update if timeline changes
  • Watch for overdue jobs

Common workflows

Creating a job from scratch

  1. Click New Job
  2. Enter job name and client
  3. Add description and scope
  4. Set start and due dates
  5. Enter budget amount
  6. Click Create Job
  7. Job appears in Draft phase
  8. Move to appropriate phase as work starts

Job from accepted quote

(When auto-create enabled):

  1. Client accepts quote
  2. Job auto-created with quote details
  3. Review and adjust job parameters
  4. Assign team members
  5. Move to Planning or In Progress
  6. Track time and costs
  7. Convert to invoice when complete

Managing active jobs

  1. View jobs in Kanban
  2. Drag cards as jobs progress
  3. Check Calendar for upcoming deadlines
  4. Use Table view for detailed analysis
  5. Review Insights for profitability

Troubleshooting

Can’t find a job

  • Check “All Jobs” filter (not archived)
  • Use search box
  • Try different view modes
  • Verify job wasn’t archived

Job not showing in Kanban

  • Check phase assignment
  • Verify not filtered out
  • Refresh page if just created

Dates wrong on calendar

  • Check start and due dates in job editor
  • Verify date format (DD/MM/YYYY)
  • Calendar shows based on these dates

Budget looks incorrect

  • Check if GST is included/excluded
  • Verify all costs are captured
  • Review time entries and rates
